Be More Social with Secure Google+ Communities

google-plusBusinesses often hesitate to use social media tools internally, fearing that information may be shared too broadly or outside the company in error.  Google has taken a major step to alleviate these concerns with the recent announcement of Secure Google+ Communities for organizations running Google Apps for Business, Education, and Government.

Going forward, all Google+ communities are only visible to people within your domain.

You can still create and share communities with external parties — customers, vendors, business partners — utilizing a new suite of management settings.

Life in the eCity for Cumulus Global

On August 14th, Google Inc. (GOOG) bestowed Westborough, MA with the honor of “digital capital” of Massachusetts as a 2013 eCity.  Research firm Ipsos and Google analyzed how small businesses in communities across the state utilize the Internet to market and grow their businesses.  Factors in Google’s and Ipsos’ analysis included the number of small businesses actively using web sites, web services, mobile apps, and cloud services.

Beyond a robust community of small businesses using Internet-based technologies to market their businesses and grow, Westborough is home to many firms that provide the infrastructure and services.  With more than 600 employees in Westborough, the electronic medical records firm eClinicalWorks, LLC provides advanced IT solutions for more than 236,000 providers and 472,000 healthcare professionals across all 50 states.

Smaller, and less well known, Cumulus Global helps small and midsize businesses, schools, nonprofits, and governments move to cloud computing solutions.  The eight person firm has resided in Westborough for more than 8 years in modest offices off Bellows Road, behind the Post Office.

According to Paul Drotch, Cumulus Global’s CFO, much of the growth is attributable to expanding services to K-12 schools and districts.  “With schools moving to Google Apps for Education and deploying Chromebooks in the classroom, the opportunity has exceeded our expectations.”

To further the options available for small businesses, Cumulus Global recently began offering advanced cloud solution packages that give companies secure, managed file services and virtual servers in the cloud.  “We are going beyond email and calendars”, notes Chris Caldwell, Cumulus Global’s co-founder and COO.  “Our integrated solutions replace in-house servers with secure cloud services that increase accessibility and reliability.”
Going forward, Cumulus Global is continuing to expand.  In July, the company opened its first remote office in New York City, and is currently planning the launch of several new services.

Google Apps, PRISM, and the NSA

With media attention and hype, leaked documents, Congressional hearings, and a great deal of explanation and back-peddling, the world now knows that the United States government spies on people.

Okay, we already knew that.

So, we learned that about a secret “FISA” court that can issue secret subpoenas letting the government look at information about us.

Okay, we already knew that, too (many of us just did not pay attention or really seem to care very much).

So, we learned that the Government had issued subpoenas for huge amounts of data about phone calls from Verizon as part of secret program called PRISM.

Now must be the time to panic?

As our 24-hour, instant, news machine struggled to find alleged experts on this top-secret program, we began hearing reports that the National Security Agency has direct, unfettered, complete access to all of the data on all of the servers of all of the major public cloud providers, and that they were capturing, recording, and saving all of this information.

Unfortunately, the cloud service providers are prohibited by law from disclosing the the number of FISA subpoenas and/or the number of users subject to those subpoenas.  We do know, however, that all of the service providers deny any direct connection between their systems and the NSA.

Without accurate information, myths become ‘facts’.

For those of us that promote and rely on the cloud, including those of us running Google Apps for Business, Education, or Government, we want assurances that our data remains private.

Google Apps and Your Privacy

On June 7th, Google posted this statement on the Official Google Blog regarding the matter.  In short:

  1. The NSA and other agencies do not have unfettered access to customer data
  2. Google was not participating in, nor aware of the PRISM program
  3. Google actively works to limit the number and scope of FISA requests

Coincidentally, CIO Magazine reported on June 4th (before the FISA/PRISM revelations in the media) about Google’s efforts to modify or restrict FISA subpoenas.  You can see the article here.

Media reports have been largely inaccurate about the scope of the PRISM program and FISA warrants and its use on American citizens on US soil.

Google is not allowed to release the numbers and scope of the requests by law.  On June 11th, Google made public an official request to release that information so that Google customers will have a more accurate picture and will understand that their data remains secure.

Conclusion

The Terms of Service and Privacy Policy for Google Apps for Business, Education, and Government have very specific rules for how private Google keeps your data and how Google responds (and lets you respond) to subpoenas Google receives for customer data.

There is no evidence, or any indication, that Google has acted outside the bounds of these terms and conditions, even as Google vigorously defends the privacy of customer data in court.

 

Google+ Hangouts and Google Apps: OFF for a Reason

As Google prepares to replace Google Talk with Google+ Hangouts, customers expect to benefit from the improved audio/video quality and features that Hangouts offer over Talk.

There are very good reasons why Google+ Hangouts are OFF by default in Google Apps for Business (Gov and Edu, too).  Before you turn on Google+ Hangouts, understand the current ramifications.

  • Preview Mode:  Google+ Hangouts are not yet officially released and, as such, get “best effort” support as opposed the technical support under the Terms of Service.
  • Incompatibility:  Google+ Hangouts are not compatible with Google Apps Vault.  Any organization that plan on using Vault, or that may need to use Vault, should not opt-in to Google+ Hangouts.
  • Data Location:  Google Apps customers under data location restrictions cannot opt-in to Vault.
  • No Enterprise Controls:  These controls are not yet available for Google+ Hangouts at this time.  As such, there are no warnings for users when chatting outside the domain and there is no way to block users’ chat status outside of the domain.

Google advises enterprise environments to continue using Google Talk for instant messaging, voice, and video conferencing.

Cumulus Global shares this recommendation, as the implications of adding Google+ Hangouts is not fully understood.  Organizations interested in a test domain may contact us for assistance.

 

Microsoft to iOS and Android Users: “Never Mind.”

 

Are we really surprised?  In the flurry of Microsoft’s marketing blitz for Office 2013, Microsoft promised that the “new office” would be available across every platform.  That Mac, iOS, and Android users would not be left behind.

Fast forward a few months and Microsoft  delaying MS Office for the iOS and Android platforms by a year.  Already facing erosion from Google Apps as companies are moving into the cloud, Microsoft is neglecting one of the fastest growing user markets in the “post-pc” era.

Meanwhile, Google is offering Quickoffice to Google Apps customers at no charge and Quickoffice PRO is available to iOS and Android users for $19.99.  MS Office users can now more easily integrate their legacy applications with mobility with Google products than those from Microsoft.

As noted in ZDnet, iOS and Android users — and Google — have the most to gain.

Who Will Use the Chromebook Pixel? Maybe You!

Chromebook PixelLast week, Google announced the Chromebook Pixel, a high end laptop running Chrome OS and designed for users that work in the cloud.  The unit is HD audio and video, a dual-core Celeron i5 processor, and up to 32 GB of solid state storage.  The 12.86″ touchscreen has an unusual, but very useful, 3:2 aspect ratio, which beats Apple’s Retina displays in terms of pixel density.

At $1,299 for a WiFi model and $1,499 for the LTE version, some in the tech press  question who would buy the Pixel.  Others, like us, see the value proposition.

We see the LTE model as extremely useful, particularly given the 1TB of free Google Drive space you get for 3 years with the system.   Why?  The aggregation of features make this device a perfect replacement for professionals and other knowledge workers that live and work via the web — in the cloud.

Connectivity

According to Ookla, my 4G LTE smartphone gets 30 Mbps on download and 18 Mbps on the upload.  That’s almost identical to the 35 Mbps symmetric FIOS line that serves an office of eight web-heavy users.  The Pixel LTE gives you high-speed, ubiquitous access to the Internet so you can work in the cloud without working about hot spots and performance.

Compatibility

With QuickOffice installed, you can bring in, access, and edit your legacy MS Office applications without blinking an eye.  The “hurdle” of moving away from MS Office just dropped to the ground.

Convenience

The LTE model has 64 GB of local storage — plenty of capacity for working off-line when cellular service is blocked and WiFi is not available (planes, trains, etc).  And, unless you are streaming videos or playing on-line games, the battery should give you about 5 hours of useful work (enough to cross the country).

Integration

With 1TB of Google Drive storage per device/user, the Chromebook Pixel provides enough storage for most small and mid-size businesses.  And, with Google Apps as its base, you can integrate your business applications and tools to ensure your data is protected and secure.

Risky Office365 Update to Take 10 Months

According to reports on ZDnet, Microsoft will begin rolling out updates to Office 365 as early as this month.  The addition of new features will take 10 months, and should be completed by November 2013.

Included in the update:

  • Office 2013 Components
  • Updates to the Exchange Management Console
  • Office Web Apps will move to the latest versions
  • Lync will include multi-person video conferencing

For many users, however, they will need to upgrade desktops and on-premise servers.  An update to Exchange is needed to use the new management console features and the Office 2013 components require Windows 7 or Windows 8 on the desktop.

This upgrade is a test for Microsoft and its customers, triggering a series of webinars and meetings between Microsoft and its partners.  Under the prior BPOS service, Microsoft never provided an upgrade.  Rather, customers had to start over with Office365. With this upgrade, Microsoft is testing its ability to perform the same system upgrades its customers want to avoid on a massive, multi-tenant scale.

In comparison, Google rolled out Hangouts and Hangouts on Air to Google Apps for Business customers over a 3 week period with zero customer disruption.  The difference is that Google Apps is designed for innovation and enhancement.  The underlying architecture of Office365 relies on old models of complex, periodic service packs and upgrades applied to virtual servers on shared hardware.
